Position Description
The University of Toledo, in partnership with the national search firm, Scott Healy & Associates, invites applications and nominations for the position of Assistant Vice President of Undergraduate Admissions. The University of Toledo seeks an experienced professional to serve in this important role. This role serves as a dynamic leader and strategist within the Division of Enrollment Management, develops and implements the University’s domestic undergraduate degree-seeking student recruitment plans utilizing state-of-the-art data analytics, and develops a team of outstanding admission professionals to achieve recruitment goals.
This role also is a leader for short-range and long-range, comprehensive strategic enrollment management at the University and is a significant contributor towards the development and implementation of recruitment, scholarship, and financial aid strategies that align with the University’s Strategic Enrollment Plan. This role is the administrator tasked with the identification, development, marketing, recruitment, and management of strategies for the Offices of Undergraduate admission support of all domestic recruiting populations including Adult, Direct-from-High School, and Transfer. This position has oversight over undergraduate recruitment, admissions operations and application management, and enrollment communication. Working in collaboration with key constituents throughout the University, the incumbent will effectively articulate and promote The University of Toledo’s mission, vision, and education programs to prospective students.
Responsibilities:
Enrollment Strategy and Planning:
- Develop and implement a data-informed annual Admission Strategic Plan, congruent with the University’s Strategic Enrollment Plan and that incorporates all domestic, degree-seeking populations at the undergraduate level.
- Coordinate the development and implementation of data-informed strategies, plans, and programs for all domestic, degree-seeking students that will generate a substantial number of qualified inquiries and applicants to achieve enrollment objectives for campus-based and online programs.
- Utilize a data-informed approach, using predictive modeling and qualification techniques, to convert prospects and inquiries to completed applications and admitted students to enrolled students.
- Monitor conversion yield, and other key recruiting metrics. Analyze recruitment data, internal and external to the University, and project the number of expected inquiries and applicants for each term and set goals for each stage of the recruiting funnel.
- Utilize state-of-the-art web analytics tools to identify prospective students on the University web site and lead the creation of customized personalized print and digital communication based upon prospective student behavior on the University web site.
- Analyze outcomes of admissions policies and recommend changes and anticipated outcomes of the changes.
- Develop and execute a comprehensive annual Integrated Admission Communication Plan to influence inquiry and application conversion rates and enrollment yields while increasing the University’s brand awareness locally, regionally, and nationally. The plan will include the use of print and digital methods of communication in addition to targeted call campaigns supported by predictive modeling, decision factors, and qualification metrics.
- Direct effective process for collecting, analyzing, and reporting data related to completed applications and admission to the University.
- Institute best practices in application management and work with admissions operations to create streamlined processes to create efficiency and better service for prospective students.
- Evaluate the scholarship, financial aid, and tuition model for domestic, undergraduate degree-seeking students to ensure the financial aid packages meet the needs of each student population (Adult, Direct-from-High School, Online and Transfer), favorably compares to competitors, and is financially responsible for the University.
- Prepare an annual Cohort Profile Report detailing the academic, demographic, and financial profile of recently enrolled undergraduate students.
- Prepare an annual Marketing Channel Metrics Report analyzing the effectiveness of marketing channels utilized for recently enrolled undergraduate students.
- Perform response analysis of prospective student name purchases through ACT, College Board, NRCCUA and other vendors, utilizing the latest analytic tools to determine the best strategies for name procurement that will positively impact recruitment and yield efforts.
- Coordinate the use of ACT, College Board, National Student Clearinghouse, and institutional data to conduct competition and market share analyses to strategically prioritize outreach to high schools/colleges/universities and recruitment travel within specific geographic regions.
- Provide data-informed analyses to University Leadership in support of achieving University enrollment and fiscal goals and objectives. Objectives include but are not limited to determining undergraduate student enrollment targets and developing communication and marketing strategies intended to positively influence the enrollment decisions of prospective students.
- Chair the Academic Committee on Enrollment and host meetings on a regular basis to ensure proper execution of recruitment strategies.
- Identify and coordinate effort to corporations, businesses, non-profit organizations, health organizations, education organizations, and military organizations to promote partnership opportunities with The University of Toledo.
Managerial:
- Manage quality implementation and evaluation of recruitment strategies in collaboration with the constituents throughout the University, including the academic colleges, Student Affairs, Financial Aid, and the Honors College.
- Manage the admission of all new undergraduate domestic, degree-seeking applicants within the framework of approved University admission criteria.
- Manage the performance of Undergraduate Admission recruitment funnel through detailed data analysis and make data-informed decisions about the strategic direction of recruitment efforts.
- Manage the process of collecting data received through targeted phone campaigns and utilize the data, in collaboration with departments throughout campus, to implement enrollment yield strategies.
- Monitor and evaluate inquiry volume, conversion, application completion percentage, yield, and other key performance metrics.
- Manage the processes by which Office of Admission staff maintain contact with prospective students throughout the recruitment cycle using comprehensive, customized, and personalized communication informed by the latest recruitment data and recruitment trends.
- Responsible for the overall performance of the admission staff to ensure enrollment objectives, individually and collectively, are met in accordance with the goals of the Division and the University.
- Manage relationships with community college partners to ensure all contractual obligations are met and create seamless pathways for prospective students.
- Manage an annual budget for the department while serving as a leader in how divisional resources are utilized. Perform periodic cost and productivity analyses to ensure the desired return on investments are met.
- Manage the appropriate space allocation needed to facilitate optimal staff performance and outcomes.
- Manage Enrollment Operations staff to create efficiencies, support professional growth, and realize the fullest potential of the CRM.
- Manage all aspects of hiring, training, development, and termination of Admission staff.
University Leadership:
- Provide leadership on behalf of the Division of Enrollment Management to the University through service on the as Chairperson of the Academic Committee on Enrollment, as Co-Chairperson of the Undergraduate Marketing and Recruitment Workgroup, as a standing member of the Athletics Compliance Council.
- Serve as a significant contributor, on behalf of the Division of Enrollment Management, for the University’s efforts on Affordability and Efficiency.
- Serve as the lead expert to the Vice President of Enrollment Management and other University leaders on all undergraduate admission trends, legislation, and policy changes that will affect University operations.
- Serve as a resource for academic college Deans, faculty, and academic administrators to ensure an understanding of enrollment processes and recruitment goals.
- Identify key committees and/or memberships to enhance the knowledge of the University community as it relates to the recruitment of new domestic, undergraduate degree-seeking students.
Qualifications
Required Qualifications:
- Master's degree;
- Minimum of 8-10 years of progressive leadership experience in higher education enrollment management;
- Competency for analyzing recruitment-related data and assessing programming activities as part of a strategic enrollment planning initiative;
- Proven ability to effectively articulate organizational objectives orally and in writing;
- Excellent interpersonal skills;
- Organized and detail-oriented approach;
- Strong project management skills and the ability to manage multiple projects/work collaboratively;
- Independent judgment and initiative; and
- Computer literacy, preferably with knowledge of Ellucian Banner and Slate CRM systems.

- Experience with quantitative, market-based approach to planning recruitment activities with documented success in college admissions;
- Ability to participate in moderate to extensive travel;
- Exceptional leadership and team building ability;
- Commitment to personalized customer service;

- Previous experience as a director;
- Ability to use technology efficiently and appropriately;
